Render secretarial functions to the Director as below;

Introduced a system to monitor documentation in and out of the Director’s office, and further up the line.

Render secretarial functions to the Senior Manager
Manage the Senior Manager’s diary and emails. Confirm and co-ordinate appointments.
Receive submission from the directorate, proof reading to detect any possible errors prior to handing to Senior Manager
Take minutes during meetings, make sure boardrooms are booked Screening of telephone calls and visitors
Arrange accommodation when required
Assist manager with compiling of submissions, briefings and event reports.
Manage and maintain internal filing system in Senior Manager’s office.
Compile, check and submit S&T Claims for the Senior Manager.
Effective and consistent service delivery and support to all internal and external clients

SM Diary management and function co-ordination within the office
Office management (e-mail, telephone, stationery) which entails:
o Email Queries
o Submission queries and following up with progress with the GM and HOD offices respectively.
o 100% directing of emails to applicable party (no un-answered emails in inbox)
o Safekeeping of confidential documents
o Handle procurement of required items as and when necessary and maintain communication with Supply Chain Department.
o Collect and compile documents required to compile monthly reports, S&T Claims and liaise with Budget officials as necessary.
Regional Secretary
Effective and consistent service delivery and support to all internal clients
RM Diary management and function co-ordination within the region
Office management (e-mail, telephone, stationary) which entails:
o Email Queries
o Commission queries
o 100% directing of emails to applicable party (no un-answered emails in inbox)
o Document processing
o Successful staff appointments within a week (for branch) or 3 days for Head Office (make sure to have a computer, stationary, desk, telephone etc)
Budget Management: Timeous processing of payments, Daily management of ledger codes and Consultant entertainment budgets.
Meeting Arrangements:
o Arrange standard meetings (daily/weekly/monthly) as per list. Make sure meetings are arranged according to the agreed dates
o Adequate event coordination (accommodation, transport, dietary requirements). Check according to the RSVP list 1 week in advance.
Submitting Reports (stats) and adhering to deadlines
Assist to finalize admin of broker contracts.
Addressing client queries, Resolving all client queries within 24 hrs, Giving feedback to client throughout the process, Notifying client of any delays and new dates communicated, Using measures to minimize any unsatisfied clients.
