Secretarial Duties:
Handling of incoming and outgoing calls if Sales & Marketing director is out of the office and re-route calls if urgent to relevant persons. Take complete messages if required

Ensure that there are biscuits ect and order from MD Secretarial administrator , in advance , for big groups of people

Managing the Warehouse:
Sell stock panels and 2nd hand panels as required – Do quotation & Pro forma invoice
Keep log (spreadsheet) of all material / stock / parts that are stored at Warehouse
Keep log of all goods ect leaving the warehouse. Ensure paperwork is in order
Keep files ready for audits
Check if marking on material delivered agree with the description on the delivery note , goods in acceptable condition
When material are received at the warehouse from external suppliers: material are checked for obvious defects of a non – technical nature & material check against the relevant order
A goods received note (GRN/GRV) is completed with receiving of stock items
Load as per requisition – Forklift driver or Admin Clerk
Capture all there relevant information (date / requisition number / vehicle registration/ drivers name ) when issuing raw material / Boxes
Do stock taking every week / Month / Year end
Ensure the logistic trucks are complying with term of national road traffic act of transport of dangerous goods (hazard 9)
Shop duties / Shop sales / Internal sales:
To organize and print necessary paperwork (delivery notes) and appropriate invoicing of goods that need to be dispatched
To file delivery notes and invoices from factory shop sale and collections as required
To co-ordinate all collections from factory to factory – from orders / the shop sales
Help customer and take him to where the collection can be collected. Ensure all paperwork is done correctly and files correctly afterwards
To check stock levels in the shop daily and to place orders accordingly
To notify collection customers if goods are not going to be ready on time and advise of revised date
Need to be able to use own initiative
To do switch board when required
Need to be able to capture orders for both Isolite and Isomould for emergencies
